How to Use This Template

This template provides a framework for building a preventive maintenance programme. Adapt it to your specific equipment, operating conditions, and manufacturer recommendations. Each task should have: a description, frequency, responsible person, estimated time, and a sign-off column.

Daily Checks (Operator)

☐ Visual inspection for leaks, unusual noise, vibration, or odour

☐ Check operating pressures and temperatures against normal range

☐ Check fluid levels (oil, water, hydraulic fluid)

☐ Check for abnormal readings on gauges and indicators

☐ Verify safety devices are functional (E-stops, guards, alarms)

☐ Record running hours and operating data in the log

☐ Check for any changes from previous day's readings

Weekly Tasks (Maintenance)

☐ Inspect and clean filters (air, oil, water)

☐ Check belt tension and condition (if applicable)

☐ Lubricate bearings per manufacturer's schedule

☐ Check and tighten electrical connections

☐ Inspect couplings and alignment

☐ Test safety interlocks and alarms

☐ Clean exterior surfaces and check for corrosion

☐ Inspect seals and gaskets for leaks

Monthly Tasks (Maintenance)

☐ Oil analysis (if applicable) — check for wear metals, water, viscosity

☐ Vibration measurement and trending (rotating equipment)

☐ Thermographic inspection of electrical connections

☐ Check and adjust calibration of instruments and sensors

☐ Inspect and clean heat exchangers (if accessible)

☐ Test backup/standby equipment

☐ Review operating data trends and identify deviations

Quarterly Tasks (Maintenance)

☐ Change oil and oil filter (if not done annually)

☐ Replace air intake filter elements

☐ Inspect and clean internal components (where accessible)

☐ Check motor bearings and lubricate (if not sealed)

☐ Perform pump performance test (flow and pressure vs curve)

☐ Inspect and adjust valve packing and seals

☐ Test and calibrate pressure relief valves (if required)

☐ Review and update the maintenance log and trend data

Annual Overhaul (Qualified Technician)

☐ Full inspection — open all inspection covers, inspect internals

☐ Replace wearing parts (bearings, seals, gaskets, filters) per schedule

☐ Clean all heat transfer surfaces (tubes, coils, fins)

☐ Calibrate all instruments, sensors, and controllers

☐ Perform non-destructive testing (UT thickness, dye penetrant) as required

☐ Test safety devices (relief valves, interlocks, E-stops)

☐ Check and re-torque all flange bolts and foundation bolts

☐ Perform performance test and compare to design/baseline

☐ Update equipment records with work performed and parts replaced

☐ Review and update the PM schedule based on findings
