PlantLogica ("we", "us", or "our") is an industrial maintenance management platform that helps plant managers, maintenance supervisors, and technicians track assets, log maintenance work, manage documents, and access a CHI-powered knowledge assistant.

This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our website, mobile application, and services (collectively, the "Service").

By creating an account or using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.

2. Information We Collect

Account Information: When you register, we collect your name, email address, and password (stored as a secure hash). If you sign up via Google, we receive your Google profile name and email.

Company Information: If you create or are invited to a company workspace, we store your company name, address, and contact details.

Operational Data: This includes assets, maintenance logs, work orders, spare parts records, documents, safety protocols, and knowledge entries that you and your team enter into the system.

Payment Information: When you purchase a subscription or onboarding service, payment is processed by Stripe. We do not store your credit card details — Stripe handles all payment data securely.

Usage Data: We may collect information about how you interact with the Service, including device type, browser, pages visited, and timestamps, for the purposes of improving the platform.

3. How We Use Your Information

To provide and maintain the Service, including authenticating your account and displaying your data.

To process payments for subscriptions and onboarding services via Stripe.

To power the CHI Knowledge Assistant, which analyses your maintenance history, documents, and knowledge entries to answer questions in natural language.

To send you important notifications about your account, maintenance schedules, and low-stock alerts.

To improve, optimise, and develop new features based on aggregate usage patterns.

To comply with legal obligations and enforce our Terms of Service.

4. Data Sharing and Disclosure

Within Your Company: Users within the same company workspace can view shared operational data (assets, logs, documents). Company admins control user access.

Service Providers: We use third-party services to operate the platform, including Stripe (payments), Google (authentication), and our cloud hosting provider. These providers have access to limited data necessary to perform their functions and are bound by their own privacy obligations.

Cross-Company Knowledge: The CHI system may reference anonymised maintenance patterns from other companies to provide better insights. No identifying company, asset, or personnel information is ever shared across company boundaries.

Legal Compliance: We may disclose information if required by law, court order, or government authority, or to protect the rights, property, or safety of PlantLogica, our users, or others.

5. Data Security

We implement industry-standard security measures including encrypted data transmission (TLS), secure password hashing, role-based access control, and row-level security to ensure that users can only access data within their authorised company workspace.

Admin (super admin) users have elevated access for platform support purposes but are bound by strict confidentiality obligations.

While we take all reasonable steps to protect your data, no method of transmission or storage is 100% secure. We cannot guarantee absolute security.

6. Data Retention

We retain your data for as long as your account is active. If you cancel your subscription, your data will remain accessible for 30 days to allow for export, after which it may be permanently deleted.

You may request deletion of your account and associated data at any time through the Profile Settings page or by contacting us.

Some information may be retained in backup systems for a limited period for disaster recovery purposes, after which it will be permanently destroyed.

7. Your Rights

Access: You can view your personal information and company data within the Service at any time.

Correction: You can update your profile information and company details through the Service.

Deletion: You can request deletion of your account and data through Profile Settings.

Export: You may request an export of your data in a machine-readable format.

Withdrawal of Consent: You can revoke consent for data processing at any time, though this may limit your ability to use certain features.

8. CHI Knowledge Assistant

The CHI (Combined Human Intelligence) assistant processes your maintenance history, documents, and knowledge entries to generate responses to your questions.

Responses are generated using CHI models that analyse your data in real-time. Your raw data is not used to train public CHI models.

The assistant respects company boundaries — it will never reveal another company's identifying information when surfacing cross-company patterns.

9. Cookies and Tracking

We use essential cookies to maintain your session and authenticate your account. These are necessary for the Service to function and cannot be disabled.

We may use analytics tools to understand usage patterns and improve the platform. These tools collect aggregated, anonymised data.

10. Children's Privacy

The Service is intended for use by businesses and professionals in industrial maintenance. We do not knowingly collect information from children under 16. If you believe we have collected data from a minor, please contact us for immediate removal.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting a notice within the Service or by sending an email to your registered address.

The "Last Updated" date at the top of this page indicates when the policy was last revised. Continued use of the Service after changes constitutes acceptance of the updated policy.
